Draft for a lawyer to check. Not final, and not yet an agreement with any school. Everything in square brackets is not decided.
What Cerisean Timetables stores about a school and its staff, where, who can see it, and how to have it deleted. Written for the school's office and its teachers.
Provided by Cerisean, [legal form], of [registered address].
About the school
- Its name, school year, holidays and closed days
- The week: days, periods and breaks
- Subjects, standards and their sections, and shared rooms
- What each standard studies, and which teacher teaches each subject to each section
- Every timetable made, and which one was published when
About teachers
- Name, and the periods a week the school plans for them
- A mobile number, only if the office or the teacher adds one
- The days and periods they are not available, and the subjects they teach
- Absences and external duty: dates, periods, and the reason when the office writes one
- Leave applications: dates, kind of leave, the teacher's reason, the decision, who made it, and any note with it
- Substitutions: who took which lesson, on which date
- Notices shown to a teacher, and when they were seen
- The date a teacher leaves the school, when the office marks it
About people who sign in
- Email address, and the date of the first sign-in
- With Google: the name and picture link the Google account gives, and the account link and sign-in tokens Google sends
- Which schools they belong to, their role in each, and when it ends
- Invitations: who invited whom, to which school, and when
- The look they chose
Nothing about students
No student names and no details about any student. A section is a name, such as VII-B, and can hold how many students it has, as a number.
Where it is kept
Each school's data is in one database. [The hosting company, and the country the database is in]
- Cloudflare: every visit to the app passes through it
- Brevo: sends the sign-in emails, so it receives the email address and the sign-in link
- Google: only for people who sign in with Google
[Check this list against the hosting chosen for schools]
Who can see it
- No one at another school: each school's data is kept apart
- School admin: everything in the school, and who can sign in to it
- Timetable in-charge: everything in the school, without adding or removing people
- Teacher: their own day, leave, record and notices, and every section's and teacher's published timetable; never another teacher's leave, record or substitutions
- Mobile numbers: only those who arrange substitutions
- The people who run Cerisean Timetables, to keep it running. [Who they are, and when they look at a school's data]
- WhatsApp messages are sent by the office, not by Cerisean Timetables. The WhatsApp button opens WhatsApp on that phone or computer with the message written, and WhatsApp's own terms apply.
- No advertising, no tracking, no analytics.
Cookies
- In the app: to keep a person signed in, and to remember the chosen school and school year and an invitation being accepted
- On the device: the light or dark choice, the look, and the timetable open last
- No advertising cookies. This website sets no cookies.
How long it is kept
While the school uses Cerisean Timetables. [What happens after a trial or plan ends, and how long backups are kept]
Deleting it
- A whole school: the School admin writes to support@cerisean.com from their own email address. Everything the school holds is deleted: setup, every timetable, teachers, their leave, absences, substitutions and records, and who could sign in. [How many days this takes, and when copies in backups are removed]
- A person's own sign-in account: write to the same address.
- A mobile number: the office can remove a teacher's; a teacher can change or remove their own.
- A teacher with leave, absences or substitutions on record cannot be deleted in the app, so the school's records stay true. The school can ask us to.
